WhatsApp Automation for Restaurants, Cafés & Cloud Kitchens in India
Independent restaurants, cafés and cloud kitchens in India depend on repeat diners and direct bookings. This guide shows how WhatsApp can confirm table reservations, share your menu and specials, send order updates for online sales and bring past diners back, with message content in English or Hindi.
Why Diners and Orders Slip Away Without a Direct Channel
A guest calls at 8pm on a Saturday and nobody picks up. A booking is taken on a staff member's personal phone and forgotten. A first-time diner never hears from you again. Orders and customers that arrive through third-party platforms are also customers you cannot message on your own terms. A direct WhatsApp channel on your own business number gives you a line to guests who have agreed to hear from you, alongside whatever platforms you already use.
This page does not quote commission rates, order values or repeat-order percentages, because we have no named public source for them here. The only figures on it are Meta's published message rules and an illustrative model with its formula shown.
Hindi and English on One Menu: Talking to Every Guest
Message content can be written in English, Hindi or both, and you can send different versions to different guests. This applies to the content of messages. This guide does not claim that the GrowOnBot dashboard or inbox is available in Hindi.
Example reservation confirmation template
EnglishHi {{1}}, your table for {{2}} on {{3}} is confirmed. Booking code: {{4}}. We look forward to seeing you.

Table reservation requests, confirmations and changes
A booking request receives a confirmation with the address, a map pin and a booking code. A changed party size or time can trigger an updated confirmation.
Menu, specials and location
Share your menu as a PDF or images, send today's specials to guests who have opted in, and send a map pin. A WhatsApp catalog and shared links work for showing items; this is not a point-of-sale system and does not replace one. See our WhatsApp catalog guide.
Party and bulk-order enquiries
Birthday, corporate catering and bulk enquiries can be routed to the right manager. Where a deposit is needed, send an external payment link; there is no native in-chat payment.
One inbox for the front desk and floor managers
Several staff can answer from the same business number through the shared team inbox, so a guest conversation does not live on one person's phone.
Running the Reservation Book in Google Sheets
If your reservation book is a spreadsheet, GrowOnBot's Google Sheets integration supports a new row, an updated row, and a date in a column. See the Google Sheets automation guide.
A new row sends the confirmation
When a booking from your form or phone enquiry is logged as a new row, the guest receives a confirmation with the address and booking code.
An updated row sends the revised details
When a row is updated, for example the time or party size is corrected, a message can send the updated confirmation. The update to the row is the trigger; a change of a particular field or status is not.
A date in a column sends reminders and offers
Put the reminder date itself in a column: the day before the reservation, a guest's birthday or anniversary, or a date after which you want to send a "we miss you" offer. A message goes out when that date arrives. For reminder design, read our appointment reminders and booking guide.
If You Also Sell Online: Shopify Order Events for Cafés, Bakeries and Cloud-Kitchen Brands
If you sell packaged goods such as cakes, hampers or ready-to-eat items through a Shopify store, GrowOnBot's Shopify integration can send messages for order placed, shipped, out for delivery, delivered, cancelled, COD placed and abandoned cart. This covers your Shopify store only. See the Shopify WhatsApp marketing guide and the order confirmation and COD verification guide.
- Order placed: a branded order confirmation.
- Out for delivery and delivered: status updates.
- Abandoned cart: a nudge with an external link back to checkout.
- COD placed: a confirmation step.
Connecting a CRM: HubSpot, Zoho CRM and Salesforce
- HubSpot: contact, deal or ticket created or updated (tickets on creation only), with two-way contact sync.
- Zoho CRM: lead or deal created or updated. Requires the Professional plan or above.
- Salesforce: contact, account, opportunity or lead created or updated, useful for franchise groups.
A new guest contact or a catering deal record can trigger a welcome or follow-up template. Contact and lead records sync; chat transcripts never sync to the CRM.
GrowOnBot does not integrate with food-delivery aggregators or reservation platforms. It gives you a direct channel to your own customers alongside those platforms.
Cost in INR: Meta's Rate, 0% Markup and the October 1, 2026 Service-Message Change
GrowOnBot adds 0% markup to Meta's per-message rates. You pay a GrowOnBot plan fee plus Meta's message rate at cost, billed in INR, AED or USD. See the pricing page.
Meta bills four message categories: marketing, utility, authentication and service. From October 1, 2026 service messages, which are free-form replies sent inside the 24-hour customer service window, are charged after the first 1,000 free service messages per business phone number per month. Messages a customer sends to you stay free. Restaurants answer many quick questions about table availability, delivery areas and dishes, which is exactly this category. Read the full explanation in our service-message charges guide.
A template flow for the most common questions (timings, menu, location, booking) reduces how many free-form replies your team has to send.
Illustrative model, not a quote. Suppose a busy restaurant or cloud kitchen sends 6,000 service replies in a month.
Chargeable service messages = 6,000 - 1,000 free = 5,000.
Service charge = 5,000 x Meta's current India service rate (INR).
This is a hypothetical calculation to show the formula. Actual cost depends on your monthly volume, message mix and Meta's current rate card on Meta's pricing page.
Staying Compliant: Opt-in Before Broadcasts and Respectful Send Times
- Opt-in first. Only send promotional broadcasts to guests who agreed. See the opt-in guide.
- Use approved templates for business-initiated messages outside Meta's 24-hour customer service window.
- Send at sensible hours. As good practice rather than a rule, avoid sending promotions late at night.
Setup Walkthrough for a Restaurant or Cloud Kitchen
A typical order of work for a restaurant, café or cloud-kitchen brand:
- Start your free trial. Create your GrowOnBot account and begin the 14-day free trial on the Launch or Growth plan.
- Register your business number. Connect the business number your front desk will use.
- Set up your reservation sheet. Give each booking a row with name, phone number including +91, party size and reservation date, plus date columns for reminders and offers.
- Write templates in English and Hindi. Draft the confirmation, reminder and offer templates, then submit each language version for Meta approval.
- Collect opt-in. Record each guest's agreement to receive WhatsApp messages, for example on the booking form.
- Test with your own number. Add a test row and check each template before going live.
