WhatsApp Automation for Real Estate Agents & Builders in India: Leads, Brochures & Site Visits

By Jeel Patel8 min readRegional Guides

Property buyers rarely wait for a call-back. This guide shows how a real estate agency, brokerage or builder's sales desk in India can use WhatsApp for real estate: instant brochures, buyer qualification, site-visit confirmations and reminders, with message content in English or Hindi.

Context sources: IBEF: Indian real estate industry report, DataReportal: Digital 2025 India (WhatsApp reach in India) and Meta: WhatsApp Business platform.

Where Real-Estate Leads Leak in India

Most property leads arrive from Meta and Google ads, portal listings, hoardings and referrals. The leaks are usually in the first hours:

  • A portal enquiry answered hours later, after the buyer has moved on to the next listing.
  • A brochure never sent, because it lives in one agent's phone gallery.
  • A buyer who asked to visit on Sunday and heard nothing until Monday.
  • An agent who leaves and takes the follow-ups with them.

English or Hindi: The Language Your Buyer Forwards the Message In

Write each template in the language your buyer reads. Template and message content can be in English or Hindi. This applies to message content only; this guide does not claim that the GrowOnBot dashboard or inbox is available in Hindi.

Example site-visit reminder template

EnglishHi {{1}}, a reminder that your site visit to {{2}} is on {{3}}. Reply here if you need to change the time.
हिन्दीनमस्ते {{1}}, यह {{2}} की साइट विज़िट का रिमाइंडर है, जो {{3}} को निर्धारित है। समय बदलना हो तो यहीं जवाब दें।

The Lead Desk a Property Team Actually Needs

New enquiry to instant reply with the matching project brochure

A new enquiry gets an immediate welcome with the brochure for the project they asked about, sent as a document message. No CRM is required for this.

Qualify on budget, location and timeline before a human calls

Ask three short questions in the first message flow: budget range, preferred location and when they plan to buy. The agent calls with the answers already in the chat.

Site-visit booking confirmation with the project address and a pin

Confirm the slot with the project address and a map pin so the buyer is not asking for directions on the day.

Day-before site-visit reminder, and a post-visit follow-up

A reminder the day before reduces no-shows, and a short follow-up after the visit keeps the conversation open. Both can be driven by dates in your lead sheet.

Several agents answering one number through the shared inbox

Use the shared team inbox so every enquiry lands in one place and any available agent can pick it up. For qualification flows, read the lead generation and qualification guide.

Running the Lead Sheet in Google Sheets

If your leads live in a spreadsheet, GrowOnBot's Google Sheets integration supports a new row, an updated row, and a date in a column. See the Google Sheets automation guide.

A new lead row sends the welcome and brochure

Add a row for each enquiry, including portal and ad leads you paste or capture into the sheet, and the welcome template goes out.

An updated lead row sends a revised price sheet or brochure version

When a lead's row is updated, for example the project of interest changes, a message can send the matching brochure.

A date in a column sends site-visit reminders, follow-ups and milestone notes

Site-visit date, follow-up date, possession or EMI milestone date can each sit in their own column and drive their own template.

If You Already Run a CRM: HubSpot, Zoho CRM or Salesforce

  • HubSpot: contact, deal or ticket created or updated (tickets on creation only), with two-way contact sync.
  • Zoho CRM: lead or deal created or updated. Requires the Professional plan or above.
  • Salesforce: contact, account, opportunity or lead created or updated.

A new lead or deal record sends a template and your team assigns the agent

When a new lead or deal record is created, GrowOnBot can send a template, and your team can assign the lead to the right agent in the CRM. Contact and lead records sync; chat transcripts never sync to the CRM.

Click-to-WhatsApp Ads and the Free Entry Point Window

If a buyer messages you through a Click-to-WhatsApp ad or Facebook Page call-to-action button and you reply within the 24-hour customer service window, that reply is not charged and opens a free entry point window. Meta says the window may remain open for up to 7 days; check Meta's pricing page for the current duration. See the Click-to-WhatsApp ads guide.

Cost in INR: Meta's Rate, 0% Markup, and What Changed on October 1, 2026

Marketing, utility and authentication vs service messages

GrowOnBot adds 0% markup to Meta's rate card. You pay a GrowOnBot plan fee plus Meta's message rate at cost, billed in INR, AED or USD. See the pricing page and the WhatsApp Business API pricing guide. A service message is a free-form reply sent inside the 24-hour customer service window.

The 1,000 free service messages per number per month

From October 1, 2026 Meta charges service messages after the first 1,000 free per business phone number per month. Customer-to-business messages stay free. Property desks send exactly this kind of message: “What's the price?”, “Is it still available?”, “Can we visit on Sunday?”. Answering common questions in the welcome template, and confirming visits through templates, reduces how many free-form replies your agents have to send. Full details are in WhatsApp service message charges from October 2026.

Illustrative cost model (not a quote)

Illustrative model (hypothetical): a property desk sends 5,000 service replies in a month to buyers in India.

Formula: chargeable = replies − 1,000 = 5,000 − 1,000 = 4,000; cost = chargeable × India service rate = 4,000 × ₹0.115 = ₹460.

The ₹0.115 India service rate is taken from Meta's INR list-rate file via the Meta pricing page. This is a hypothetical example to show the arithmetic, not a customer result; your actual cost depends on your volume and the current official rate card.

Compliance and Data Care for Property Leads in India

  • Opt-in first. Get consent before broadcasts. See the opt-in guide.
  • Use approved templates for business-initiated messages outside Meta's 24-hour customer service window.
  • Handle buyer documents and IDs responsibly and do not share buyer data without consent. See the verification and GST compliance guide.
  • Property claims are yours. Prices, availability and approvals you state in messages are the developer's or agent's own responsibility. Make no promise of price appreciation or investment returns.
  • No in-chat payments. If you ask for a booking or token amount, share an external payment link.

Setup Walkthrough for a Real Estate Team

A typical order of work for an agency or builder's sales desk:

  1. Start your free trial. Create your GrowOnBot account and begin the 14-day free trial on the Launch or Growth plan.
  2. Register your business number. Connect the business number your sales desk will use.
  3. Write templates in English and Hindi. Draft the welcome and brochure, site-visit confirmation, site-visit reminder and post-visit follow-up templates, then submit each language version for Meta approval.
  4. Prepare your lead sheet. Give each lead a row, with the phone number including +91, the project of interest and a separate date column for the site visit.
  5. Collect opt-in. Record each buyer's agreement to receive WhatsApp messages, for example on the enquiry form or ad lead form.
  6. Test with your own number. Add a test row and check each template before going live.

Frequently Asked Questions

Can WhatsApp send property brochures automatically?

Yes. When a new enquiry row is added to your Google Sheets lead sheet, a template can go out with the matching project brochure as a document message. Buyer replies land in the shared team inbox.

Do I need a CRM to start?

No. A Google Sheets lead sheet is enough to send an instant welcome and brochure, a site-visit reminder off a date column, and a follow-up. If you already use HubSpot, Zoho CRM (Professional plan and above) or Salesforce, new or updated lead and deal records can trigger templates too.

Can several agents use one WhatsApp number?

Yes. The shared team inbox lets several agents answer from one business number, so a lead does not depend on one agent's phone.

How do site-visit reminders work?

Keep the site-visit date in a column of your lead sheet. A date-in-a-column trigger sends a reminder template when the date arrives, and you can send a follow-up template after the visit the same way.

Is there a WhatsApp integration with property portals?

No portal integration is claimed. Capture portal enquiries into a Google Sheets row and trigger your messages from there.

Is WhatsApp approved for real-estate marketing in India?

Meta's own opt-in and message-template rules govern WhatsApp messaging, so collect opt-in before broadcasts and use approved templates where required. Property advertising claims remain the developer's or agent's own responsibility.

What does it cost in INR?

GrowOnBot adds 0% markup to Meta's rate card; you pay a plan fee plus Meta's rate at cost, billed in INR, AED or USD. From October 1, 2026 Meta charges service messages after the first 1,000 free per business phone number per month. See the service message charges guide for the arithmetic.

Can buyers pay the booking amount on WhatsApp?

No. There is no native in-chat payment. Share an external payment link in your message instead.
