WhatsApp Automation for UAE Salons, Spas & Wellness Centres: Bookings, Reminders & Repeat Visits

By Jeel Patel8 min readRegional Guides

Salons, spas and wellness centres in Dubai, Abu Dhabi, Sharjah and the northern emirates take bookings by phone, walk-in, Instagram DM and WhatsApp. This guide shows how to use WhatsApp for salons in the UAE: confirm bookings, remind clients before their appointment and invite them back, with the official WhatsApp Business API and GrowOnBot.

Why UAE Salons Lose Revenue in the DMs

A booking request that sits unanswered for an hour is often a booking that went to the salon down the road. The same leaks show up again and again:

  • Unanswered booking requests. Messages arrive while the team is with clients, and the receptionist answers in the evening.
  • Double-booked slots. Bookings taken across phone, Instagram and WhatsApp end up in different places.
  • Empty slots that could have been resold. A Friday slot that a client quietly skips is hard to refill if nobody knew in advance.
  • No re-booking nudge. Clients who enjoyed a visit simply forget to book the next one.

Industry research points to a growing market to compete in: the UAE salon service market is projected to grow at a 7.2% CAGR over 2026 to 2032, according to 6Wresearch. More demand also means more enquiries to answer promptly.

GrowOnBot does not promise a specific drop in no-shows or a revenue uplift. It gives your team a faster, more consistent way to answer, confirm and remind.

Taking a Booking on WhatsApp

The WhatsApp Business API sends messages from your verified business number. Business-initiated messages outside Meta's 24-hour customer service window use Meta-approved templates, and you should only message clients who have opted in.

Booking request to instant confirmation with the branch address

When a client asks for a slot, your confirmation message repeats the service, date, time and branch address, so there is no doubt about where to go. This is a confirmation message only. There is no native in-chat checkout, so if you take a deposit or payment, send an external payment link.

Example confirmation template

MessageHi {{1}}, your {{2}} appointment is confirmed for {{3}} at {{4}}. Branch: {{5}}. Reply here if you need to change it.

A date-based reminder before the appointment

A reminder sent the day before gives the client a chance to confirm, move or cancel while you can still offer the slot to someone else. The next section shows how a date in your booking sheet drives it.

Reschedule and cancel requests routed to a shared inbox

When a client replies to change a booking, the reply lands in the GrowOnBot shared team inbox, so whoever is on the front desk can answer from the same business number. See our shared team inbox guide for how several people can work from one number.

Running the Appointment Book in Google Sheets

Many independent salons already keep the appointment book in a spreadsheet. GrowOnBot's Google Sheets integration supports three triggers: a new row, an updated row, and a date in a column. Our Google Sheets automation guide covers them in detail.

A new booking row sends a confirmation

When your receptionist adds a row for a new booking, the client receives the confirmation template with the details from that row.

An updated booking row sends a revised confirmation

If the row for a booking is updated, for example a new time or a different stylist, GrowOnBot can send a revised confirmation to the client.

A date in a column sends the reminder and the re-booking nudge

Keep the appointment date in its own column. A date-based trigger can send the day-before reminder. A second date column, such as the date a visit is due to repeat, can send a post-visit re-booking invitation.

Example re-booking nudge template

MessageHi {{1}}, it has been a few weeks since your {{2}}. Would you like to book your next visit? Reply with a day that suits you.

Seasonal Demand: Ramadan, Eid, Wedding Season and Tourist Peaks

Salon and spa demand in the UAE is not flat through the year. Ramadan and Eid, wedding season and the busy tourist months all change how fast slots fill. Planning for them in advance keeps the front desk from being overrun:

  • Send an opted-in broadcast announcing your Eid or event-season hours and how to book.
  • Keep reminder templates short so clients can confirm in one reply.
  • Use the shared inbox so several team members can answer during peak weeks.

Broadcasts must go only to clients who opted in, and each one should use an approved template. Our broadcast guide explains how to send them safely.

Selling Retail Products Online? Shopify Order Messages

If your salon also sells shampoo, treatments or gift cards online, GrowOnBot's Shopify integration covers the store side only: order placed, shipped, out for delivery, delivered, cancelled, COD placed and abandoned cart. Each can send a WhatsApp message to the customer.

This applies to Shopify orders, not to your salon appointments. Bookings stay in your sheet or CRM. See the Shopify WhatsApp guide for the order messages in detail.

If You Already Run a CRM: HubSpot, Zoho CRM or Salesforce

Some wellness centres track enquiries and memberships in a CRM. These are the confirmed CRM triggers:

  • HubSpot: contact, deal or ticket created or updated (tickets on creation only), with two-way contact sync.
  • Zoho CRM: lead or deal created or updated. Requires the Professional plan or above.
  • Salesforce: contact, account, opportunity or lead created or updated.

A new contact or deal record sends a welcome or enquiry follow-up

When a new contact or deal record is created, GrowOnBot can send a welcome or enquiry follow-up template. Contact records sync both ways; chat transcripts do not sync to the CRM.

Cost in AED: Meta's Rate, 0% Markup

GrowOnBot adds 0% markup to Meta's per-message rates. You pay a GrowOnBot plan fee plus Meta's message rate at cost. Billing is available in AED, INR or USD, and current plans are on the pricing page. For how Meta's rates work, see our WhatsApp Business API pricing guide.

UAE note: UAE accounts billed in AED pay a ~4% currency conversion fee on Meta message charges. This is a payment-conversion cost, not a markup.

For UAE-specific rate and setup background, read the WhatsApp Business API in the UAE guide.

Staying Compliant in the UAE

Get opt-in before you send any promotional broadcast. Record when and how each client agreed, and make it easy to stop. Our opt-in guide explains the basics.

You may see the hours 9pm to 7am quoted in the UAE. That window comes from the TDRA policy on unsolicited marketing SMS (see the TDRA policy page). It is an SMS rule, not a WhatsApp regulation. Many businesses still choose to avoid late-night promotional WhatsApp messages as good practice, because clients notice them. Treat it as a courtesy, not a legal requirement for WhatsApp.

Setup Walkthrough for a Salon or Spa

A typical order of work for a salon or spa looks like this. Our appointment reminders and booking guide goes deeper on each message.

  1. Start your free trial. Create your GrowOnBot account and begin the 14-day free trial on the Launch or Growth plan.
  2. Register your business number. Connect a business number that will send your confirmations and reminders.
  3. Write your templates. Draft the booking confirmation, revised confirmation, day-before reminder and re-booking nudge, then submit them for Meta approval.
  4. Prepare your appointment sheet. Give each booking its own row, with the phone number including +971 and the appointment date in its own column.
  5. Collect opt-in. Record each client's agreement to receive WhatsApp messages before you send.
  6. Test with your own number. Add a test row and check the confirmation and reminder before going live with clients.

Yes. With GrowOnBot, a new row in your Google Sheets appointment book can send a booking confirmation template to the client, and an updated row can send a revised confirmation.

How does the appointment reminder work?

A date in a column of your sheet, such as the appointment date, can trigger a reminder message. Reminders to clients who have opted in use Meta-approved templates.

Can clients pay inside WhatsApp?

No. There is no native in-chat checkout. If you collect a deposit or payment, send an external payment link in the message.

Does GrowOnBot integrate with salon booking software?

No salon-software integration is claimed. The confirmed integrations are Shopify, HubSpot, Zoho CRM (Professional plan and above), Salesforce and Google Sheets.

Does GrowOnBot add a markup to WhatsApp message charges?
